to help us balance our checkbook and provide certain basic reports
concerning such things as total debt and total assets, then calculate
our net worth from those figures. Digital archiving is no different.
There are certain basic functions that any document management
solution should implement.
When considering what your company's most basic needs are, consider this list of basic features that an effective document management solution should offer.
- Digitizing
The process by which paper documents are scanned and converted to a digital image file
in one of many formats.These formats include, but are not limited to: bitmap (.bmp),
JPEG(.jpg), and Tagged Information File Format(.tif). This scanning process should be
intuitive and user friendly. An overly complex digitizing process can be counter productive

Indexing an image consists of associating certain data to the image within the database.
How images are indexed and what data is important is often left up to the end user,
however, it is up to the developer to make the process as efficient and as intuitive as
possible in order to maintain the integrity of the database. Also, you should expect to be
able to validate the data being used to index your important documents. Data validation
is simply a verification that the data you entered fits the format that you expect for a
particular field of data.
Barcode Recognition: 17 different barcode symbologies are recognized by
AcceleDex and 10 of those can be auto detected during the index process with near
%100 accuracy.
Filename: Images can also be indexed based on the current filename of the image.
Manual Posting: Images can be manually posted during the ˇ°import from fileˇ± or
scanning process.
AcceleDex features a standalone database that does not require an internet connection
or network communication. Image records are posted immediately to the database so
waiting for hourly or daily periodic updates is not required to retrieve recently posted
documents. Document images can be retrieved the moment they are posted. - Image Retrieval
An image file is next to useless unless you can retrieve it in a rapid, logical manner.
Retrieving a document should be just as intuitive as indexing. When searching for an
image record, you should be able to use wildcards to broaden searches. You should also
be able to retrieve records based on information not necessarily related to the content of
the document, like who posted or purged the document.
With AcceleDex, you can retrieve records based on who posted or purged the document,
which Folder it was posted in, and the Post Method of the document as well as the basic
data that was acquired from the document itself during the index process. Also, since
AcceleDex is a standalone database, there are no network communications or laggy
internet connections to transfer data through. This provides the most rapid document
retrieval system available. - Database Maintenance
Maintaining the size and age of your image database is just as important as ensuring the correctness of the data itself. A large database full of obsolete images and records can quickly slow down the performance of both indexing and retrieval of records. The digital archiving system must include a means to dispense of obsolete images and old data records, without compromising valid records.
AcceleDex features a robust Purge/Restore Utility that allows you to remove old records and maintain the size of the searchable database. Old records are moved into the Purge Bin and will remain there until emptied. The integrity of your image database is our main concern. - Backup / Restore
Any database worth its price will feature some sort of backup/restore
capability. Some software itself. Other systems may simply instruct
the user how to copy and save the data software itself. Other

with the click of a single button from within the program itself. Backups are saved to the local hard drive and are very easy to burn to CD ROM. An important thing to note is that AcceleDex backups made to the local hard drive are actually copies of the data and associated images which are located in the hidden database. This way, there is no chance of the user accidentally deleting your important records.
